And you are correct, as there are more than ten thousand laws across the board that address how long you need to hold onto documents.<\/p>\n\n\n\n<p>The <a href=\"https:\/\/www.irs.gov\/Businesses\/Small-Businesses-&amp;-Self-Employed\/How-long-should-I-keep-records\">IRS recommends<\/a> holding onto your tax returns for a minimum of 3 years depending on your situation. In the financial industry, <a href=\"https:\/\/www.sec.gov\/rules\/final\/34-44992.htm\">Securities brokers and dealers<\/a> are required to retain all of their business communications for three years, two of which require you to have it accessible.<br><\/p>\n\n\n\n<!--more-->\n\n\n\n<h2 class=\"wp-block-heading\">What Should You Archive<\/h2>\n\n\n\n<p>With regulations such as <a href=\"https:\/\/en.wikipedia.org\/wiki\/Health_Insurance_Portability_and_Accountability_Act\" target=\"_blank\" rel=\"noopener noreferrer\">HIPAA<\/a> and <a href=\"https:\/\/en.wikipedia.org\/wiki\/Sarbanes%E2%80%93Oxley_Act\" target=\"_blank\" rel=\"noopener noreferrer\">Sarbanes-Oxley<\/a> as some of the most widely enforced regulations here are several things recommended to be archived:<\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Financial records required for audits and reporting (For at least 7 years)<\/li>\n\n\n\n<li>Business related correspondence (For at least 3 years)<\/li>\n\n\n\n<li>Tax returns and tax related documents (For a minimum of 3 years)<\/li>\n\n\n\n<li><a href=\"https:\/\/en.wikipedia.org\/wiki\/Protected_health_information\" target=\"_blank\" rel=\"noopener noreferrer\">Protected Health Information (PHI)<\/a> (For at least 6 years or 2 years after the individual\u2019s death)<\/li>\n<\/ol>\n\n\n\n<p>If your firm has regulations put in place that you must maintain compliance with, then a good way to maintain your records is a must. Poor records management will become a red flag to auditors.<\/p>\n\n\n\n<p>Although paper documents are still a viable way of maintaining your records, implementing a system to help manage your files will increase your efficiency as a whole.
